Configuring AI Daily Snapshots & Cloud Agents

Cloud Agents are automated background processes that run on a schedule to keep your PocketOS data optimized, reports updated, and systems maintained. How to Access 1. Go to Settings → Cloud Agents What Are Cloud Agents? Cloud Agents are automated tasks that run without your intervention. They handle repetitive work like generating daily reports, syncing data, optimizing content, and checking system health. Agent Categories AI & Intelligence AI-powered agents that use machine learning to optimize your business: - Daily Snapshots — Captures a daily summary of your business metrics (revenue, bookings, membership counts, fleet utilization) and stores it for historical comparison - Rental Analytics Agent — Analyzes rental performance patterns and identifies trends - Content Optimization Agent — Reviews and suggests improvements to your showroom and website content TurboRank SEO Agents If the TurboRank SEO module is enabled, additional agents appear: - Sitemap Monitor — Watches for sitemap changes and triggers re-submission - Keyword Rank Tracker — Checks your ranking positions for target keywords - Review Monitor — Watches for new reviews across connected platforms Agent Details Each agent card shows: - Agent name — What the agent does - AI badge — Indicates the agent uses AI/ML (vs. simple automation) - Description — Brief explanation of the agent's purpose - Schedule badge — How often the agent runs (e.g., "Daily", "Hourly", "Every 6 hours") How Daily Snapshots Work The Daily Snapshot agent runs once per day (typically early morning) and captures: - Total active rentals and revenue - Fleet utilization percentage - Active membership count and MRR (Monthly Recurring Revenue) - New leads and conversion rates - Payment processing summary These snapshots power the historical charts and trend analysis on your dashboard and reports pages. Frequently Asked Questions Can I disable specific agents? Currently, Cloud Agents are informational — the page shows which agents are running. Agent configuration is managed through the specific module settings (e.g., TurboRank SEO settings for SEO agents). Do agents cost extra? No. Cloud Agents are included in your PocketOS plan. AI-powered agents may require certain plan tiers. When do daily snapshots run? Daily snapshots run in the early morning hours (typically 4-6 AM) to capture the previous day's final numbers.

Connecting Turo, Telegram & Discord

PocketOS integrates with Turo (for importing reservations), Telegram (for real-time notifications), and Discord (for team notifications). Each is configured on its own page under Connections. How to Access 1. Go to Settings → Connections Turo Integration What It Does The Turo integration lets you forward Turo booking emails to PocketOS, which automatically imports them as rentals in your system. How to Set Up 1. Go to Settings → Connections → Turo 2. Copy the Turo Inbox Email — this is a unique PocketOS email address 3. In your email client, set up a forwarding rule to send all Turo notification emails to this address 4. Optionally, set a Forwarding Email if you want PocketOS to forward processed emails elsewhere How It Works 1. Turo sends you a booking confirmation email 2. Your email forwards it to the PocketOS inbox address 3. PocketOS parses the email and creates a rental record automatically You can also import Turo reservations via CSV upload on the Rental List page. Telegram Integration What It Does Sends PocketOS notifications to a Telegram group or channel — new bookings, payments, status changes, and more. How to Connect 1. Go to Settings → Connections → Telegram 2. Click Generate Link Code — a verification code appears 3. Copy the code 4. Add the PocketOS Telegram bot to your group/channel 5. Send the code as a message in that group 6. Click Verify Connection in PocketOS Managing the Connection - Pause/Enable — Temporarily stop notifications without disconnecting - Send Test Message — Verify the connection works - Disconnect — Remove the Telegram integration Discord Integration What It Does Sends PocketOS notifications to a Discord channel via webhook. How to Connect 1. In Discord, go to your channel → Settings → Integrations → Webhooks → New Webhook 2. Copy the Webhook URL 3. Go to Settings → Connections → Discord in PocketOS 4. Paste the Webhook URL 5. Optionally enter the Channel Name for display 6. Click Connect Discord Managing the Connection - Pause/Enable — Temporarily stop notifications - Send Test Message — Verify it's working - Disconnect — Remove the integration Controlling What Gets Forwarded After connecting Telegram or Discord, you control which modules forward notifications on each module's settings page (RentalOS, ClubOS, AuctionOS, TurboRank SEO). Each has its own toggle.

Connecting Mercury Banking

Mercury is a business banking platform. Connecting Mercury to PocketOS enables direct bank payouts to porters and managers, and displays your account balances in the dashboard. How to Access 1. Go to Settings → Connections → Mercury What Mercury Integration Does - Direct bank payouts — Send porter and manager payouts as ACH transfers directly from Mercury - Account balances — View your Mercury account balances within PocketOS - Account list — See all connected Mercury accounts (checking, savings) How to Connect Option 1: API Key (Recommended) 1. Log in to your Mercury account at mercury.com 2. Go to Settings → API → Generate API Key 3. Copy the API key 4. In PocketOS, click Connect via API Key 5. Paste the key in the modal and click Connect Option 2: OAuth2 OAuth2 connection is available but may be disabled depending on Mercury's current API availability. If available, click the OAuth button to be redirected to Mercury for authorization. After Connecting Once connected, you'll see: - Active badge confirming the connection - Mercury Accounts card showing your accounts and balances - Retry button if account loading fails Using Mercury for Payouts Once connected, the payout features in Porter Settings and Manager Settings can send payments directly through Mercury as ACH bank transfers. Without Mercury, payouts must be sent externally and recorded manually. Disconnecting Click Disconnect to remove the Mercury integration. This does not affect your Mercury bank account — it only removes PocketOS's access. Don't Have Mercury? If you don't have a Mercury account, the page shows a promotional card with information about Mercury's banking services and a link to sign up. Frequently Asked Questions Is Mercury required? No. Mercury is optional. Without it, you can still use PocketOS fully — you'd just send payouts externally (Zelle, wire, check) and record them manually. Are my banking credentials stored? PocketOS stores only the API key token, not your Mercury login credentials. You can revoke the API key from Mercury's settings at any time.

TurboRank SEO Settings

TurboRank is PocketOS's built-in SEO (Search Engine Optimization) module. It connects to Google, Bing, Yelp, TripAdvisor, and social platforms to help your business rank higher in search results. How to Access 1. Go to Settings → TurboRank SEO Integrations Connect your existing accounts to centralize SEO management: Google Suite - Google Search Console — Monitor your site's search performance, indexing status, and search queries - Google Analytics 4 — Track website traffic, user behavior, and conversion events - Google Business Profile — Manage your Google Maps listing, reviews, and business information Click Connect next to each service to initiate Google OAuth. After connecting, select the specific property, GA4 profile, or GBP location from the dropdown and click Save. Other Platforms - Yelp — Search for and connect your Yelp business listing - TripAdvisor — Connect your TripAdvisor listing - TikTok — Connect for social tracking - Bing Webmaster Tools — Submit your sitemap and monitor Bing search performance. Enter your API key and site URL to connect. Sitemap Auto-Submission TurboRank can automatically submit your sitemap to search engines when content changes. Click Run Now to trigger an immediate submission. Showroom & Custom Website Settings

The Showroom is your public-facing storefront where customers can view your inventory, book vehicles, browse memberships, and learn about your business. How to Access 1. Go to Settings → Showroom General Settings - Showroom Handle — Your public URL slug (e.g., yourgarage.pocketlistautos.com) - Location — Your business address displayed on the showroom - Country — Select from a full country list - Phone — Public phone number for customers - Website — Link to your external website - Profile Image — Your business logo - Hero Image — Large banner image at the top of your showroom - Basic Bio — Short description of your business (240 character limit) Social Links Add links to your social media profiles so customers can find you on other platforms. Creating & Editing Agreement Templates

Agreement Templates are reusable documents that customers sign — rental agreements, membership contracts, vehicle consignment agreements, and more. Create them once and attach them to rentals, memberships, or vehicles. How to Access 1. Go to Settings → Agreement Templates The Agreement Template List The list shows all your templates with columns for Status, Title, Document Type, and last update date. Use the search bar to filter by name. Click any title to edit that template. Creating a New Template 1. Click the Add button in the toolbar 2. Enter a name for your template 3. Click Create 4. You'll be taken to the template editor The Template Editor Basic Settings - Title — The agreement name (editable, auto-saves on blur) - Agreement Type — Select from: Vehicle, Deal, Contact, Rental, or Membership. This determines which dynamic variables are available. - Status — Draft or Live. Take a template Live when it's ready for use. Payment Requirement (if External Payment module is enabled) - Require Payment toggle — When ON, a payment must be collected when the agreement is signed - Payment Amount — The dollar amount required Document Variables Variables are dynamic placeholders that auto-populate when the agreement is sent. Available variables depend on the Agreement Type: | Type | Available Variables | | --- | --- | | Rental | Renter name, vehicle info, dates, pricing, pickup/dropoff addresses | | Membership | Member name, plan name, pricing, billing details | | Vehicle | Vehicle details, VIN, owner info | | Deal | Deal details, parties, amounts | | Contact | Contact info, address, custom fields | Click any variable in the left panel to copy its token (e.g., ##{{renter_name}}), then paste it into your document. Membership agreements are limited to one signer. Rich Text Editor The right panel is a full rich text editor. You can: - Format text — Bold, italic, underline - Add headings — Use the block dropdown for H1-H6 - Create lists — Bulleted and numbered lists - Insert images — Add logos, diagrams, or reference images - Paste variables — Insert dynamic tokens that auto-populate Going Live Click Take Live to make the template available for use. Requirements: - At least one signer must be configured - The document should include relevant variables for auto-population Deleting a Template Click Delete, then Confirm. Deleting a template does not affect agreements that have already been sent or signed — those remain on record. Frequently Asked Questions Can I edit a template after it's Live? Yes. Edits apply to future uses of the template. Agreements already sent or signed are not retroactively changed. How do I attach an agreement to a rental? On the rental detail page, use the Agreements tab to select a template and send it to the renter. For instant bookings, set a default agreement in Instant Booking settings. Can I have multiple agreement types for rentals? Yes. Create as many rental-type templates as needed (e.g., one for daily rentals, one for long-term, one for Pocket Drives).

Setting Up Your Inside Sales Team

The Inside Sales team feature lets you assign dedicated sales representatives to handle inbound leads, quotes, and customer communications. How to Access 1. Go to Settings → Team → Inside Sales What Inside Sales Does Inside Sales team members are the people who: - Receive and respond to new rental inquiries and leads - Convert quotes into confirmed bookings - Handle customer questions through chat and messaging - Follow up on incomplete bookings When a new lead or inquiry comes in, it can be automatically routed to your Inside Sales team for follow-up. Adding Sales Team Members 1. Go to Settings → Team → Inside Sales 2. Click Add 3. Select from your existing internal team members 4. The selected person is added to the Inside Sales rotation How Lead Routing Works When leads are enabled, new inquiries are distributed among your Inside Sales team. Team members see their assigned leads in the Leads section and receive notifications for new assignments. Tracking Performance Inside Sales performance can be tracked through: - Lead conversion rates — How many leads become confirmed bookings - Response time — How quickly sales reps respond to inquiries - Revenue attribution — Revenue generated from each sales rep's leads Frequently Asked Questions Can someone be on both the Inside Sales team and the Porters list? Yes. Roles are independent — a person can handle both sales and vehicle delivery. What if I have no Inside Sales team configured? All leads and inquiries go to the organization admins by default.

Managing Your Internal Team

Your Internal Team consists of people within your organization who have access to the PocketOS dashboard. These are your employees, partners, and staff. How to Access 1. Go to Settings → Team → Internal What Internal Team Members Can Do Internal team members get varying levels of access to your PocketOS dashboard depending on their role: - Admin — Full access to all features, settings, and billing - Manager — Access to day-to-day operations but not billing or organization settings - Member — Limited access to assigned areas Adding an Internal Team Member 1. Go to Settings → Team → Internal 2. Click Add Member 3. Enter their email address 4. Select their role 5. Click Send Invite The person receives an email invitation. Once they accept, they appear in your team list with their role and status. Managing Team Members - Change role — Click on a team member to update their role - Remove — Remove a team member to revoke their access immediately - View status — See whether invitations are pending or accepted Frequently Asked Questions Is there a limit on internal team members? The number of team members depends on your PocketOS plan. Contact support if you need to increase your limit. What happens when I remove a team member? Their access is revoked immediately. They can no longer log in to your organization's dashboard. Their historical actions (rentals created, payments processed, etc.) are preserved in the audit trail. Can a team member be on multiple organizations? Yes. A single PocketOS account can be a member of multiple organizations. They switch between organizations using the organization switcher.

Notification Preferences

Notification Preferences let you control which alerts you receive and through which channels — in-app notifications and push notifications. How to Access 1. Go to Settings → Profile 2. Scroll down to the Notification Preferences card Notification Categories Each notification type has two channel toggles: | Category | What It Covers | | --- | --- | | Default | General notifications that don't fit other categories | | System | Platform alerts, maintenance, and account-level notifications | | Deal | Deal updates, phase changes, and activity | | Invoice | Invoice creation, payments, and overdue notices | | Agreement | Agreement sent, viewed, and signed events | | Order | Order status changes and fulfillment updates | | Vehicle | Vehicle updates, status changes, and inventory alerts | | RentalOS | Rental bookings, status changes, check-in/out events | | Auction OS | Auction bids, comments, and results | | User | User activity and account events | | Points | Points earned, redeemed, and balance changes | | Admin | Administrative alerts and team management events | | Chat | New messages and conversation updates | | Task | Task assignments, completions, and reminders | | ClubOS | Membership events, payments, and club activity | | Club | Club-specific events and community updates | | TurboRank SEO | SEO alerts, ranking changes, and optimization suggestions | Note: The categories visible to you depend on your organization's brand type and enabled modules. Notification Channels In-App Notifications appear in the bell icon in the top navigation bar. These are always available and cannot be fully disabled for the Default category. Push Push notifications are sent to your browser or mobile device. You must grant notification permissions in your browser/device for these to work. How to Configure 1. Find the notification category you want to adjust 2. Check or uncheck the In-App box 3. Check or uncheck the Push box 4. Click Save Preferences at the bottom Important: Changes don't save until you click the Save button. If you navigate away without saving, your changes are lost. Frequently Asked Questions Can I turn off all notifications? You can turn off Push for everything, but In-App notifications for the Default category cannot be fully disabled to ensure you always receive critical system alerts. Why am I not receiving push notifications? Check that: (1) Push is enabled for the category, (2) your browser has granted notification permissions to PocketOS, (3) your device's Do Not Disturb mode is off.

Profile & Account Settings

Your Profile settings control your personal information, avatar, garage details, and dashboard layout. How to Access 1. Go to Settings → Profile Personal Profile Your personal profile shows how you appear to other users and within your organization. Viewing Your Profile Your profile card shows your avatar, name, email, phone, and slug (personal URL identifier). Click Edit Profile to make changes. Editing Your Profile | Field | Editable | Description | | --- | --- | --- | | Profile Photo | Yes | Upload a profile image — appears in chat, comments, and team views | | First Name | Yes | Your display first name | | Last Name | Yes | Your display last name | | Slug | Yes | Your personal URL identifier — shows availability in real-time | | Email | No | Locked to your login email | | Phone | No | Locked to your registered phone number | Garage Settings (Admin Only) Organization admins see an additional Garage card with: - Garage Name — Your organization's display name (with verified badge if verified) - Showroom Handle — The URL slug for your public showroom page - Referral Link — Your unique link for referring other operators Click Edit Garage Name to update your organization's display name. Spotify Connection Connect your Spotify account to enable music features in your club. Click the Spotify card to initiate the OAuth connection. Once connected, a "Connected" badge appears. Dashboard Layout Enterprise users with a core brand can choose their default dashboard view: - Default — Standard overview dashboard - Rental — RentalOS-focused dashboard - Invoices — Invoice-focused view - Membership — ClubOS membership-focused view - Consignment — Vehicle consignment-focused view Click any layout card to set it as your default. The dashboard shows this view when you first log in. Danger Zone (Admin Only) Original admins see a Cancel Garage option. This permanently deactivates your organization. Enabling & Disabling Platform Modules (Pocket Pro)

PocketOS uses a modular architecture. The Pocket Pro Modules page lets you enable or disable features for your organization. How to Access 1. Go to Settings → Pocket Pro (or Modules) Available Modules | Module | What It Enables | | --- | --- | | Pocket Pro Tools (Sales) | Deal pipeline, sourcing, transactions, and sales workflows | | Invoice & Merchant Services | Payment processing, invoicing, and merchant account features | | RentalOS | Full rental management — bookings, fleet, porters, and more | | ClubOS | Membership management — plans, credits, rooms, and events | | AuctionOS | Vehicle auctions — listings, bidding, and livestream | | External Car Submission | Accept vehicle submissions from external sources | Toggle each module ON or OFF using the switch next to it. Some modules require a specific plan level. Sales Tax Rate Set your organization's base sales tax rate on this page. This applies to all transactions unless overridden by module-specific rates (e.g., the rental-specific tax rate). Timezone Select your organization's timezone from the dropdown. This affects all date/time displays, scheduling, and automated processes. GT1+ Features If you're on the GT1+ (Enterprise) plan, additional options become available: - Custom Domain — connect your own domain to your showroom - Rental Manual Payments — enable manual payment recording for rentals - Invoice Manual Payments — enable manual payment recording for invoices
