Managing Reviews

Reviews from renters appear on your showroom and help build trust with potential customers. Manage them from the Reviews section. How to Access 1. Go to the Rental List and scroll to the Reviews panel, or go to Reviews in the left sidebar How Reviews Are Collected If Auto-Send Review Request is enabled in RentalOS Settings, renters automatically receive an SMS with a review link when their rental is completed. What Reviews Show - Star rating — 1-5 stars - Written review — The renter's comments about their experience - Renter name — Who left the review - Rental details — Which vehicle and dates - Date — When the review was submitted Managing Reviews - View — Read all submitted reviews - Respond — Reply to reviews publicly (shows on your showroom) - Flag — Report inappropriate reviews Impact on Your Business Reviews directly impact: - Showroom credibility — Positive reviews build trust - Pocket Drives ranking — Higher-rated garages may appear higher in marketplace results - TurboRank SEO — Review content contributes to search engine visibility Frequently Asked Questions Can I delete a negative review? Reviews cannot be deleted by the operator. You can respond professionally and flag reviews that violate community guidelines. Can I disable review collection? Turn off Auto-Send Review Request in Settings → Rentals → General. Note: if enrolled in Pocket Drives, this setting is locked ON.

Reports Overview (Payouts, Payments, Sales Tax & QuickBooks)

The Reports section provides financial reporting across all modules — payments, taxes, owner payouts, and accounting exports. How to Access 1. QuickBooks Integration For organizations using QuickBooks, payment and invoice data can be exported in QuickBooks-compatible format for seamless import into your accounting system. Frequently Asked Questions How far back does report data go? Reports include all historical data from when your organization was created. There's no time limit on historical data. Can I automate report delivery? Automatic report emails are not currently available. Use CSV export for regular reporting needs.

Room Reservations List

The Room Reservations List shows all room bookings across your club — past, current, and upcoming. How to Access 1. Go to Rooms → Reservations What It Shows - Room name — Which room was booked - Member — Who booked it - Date/Time — When the reservation is for - Duration — How long the booking lasts - Credits used — How many credits were spent - Status — Confirmed, pending approval, cancelled Managing Reservations - Approve/Reject — If a room requires approval, review and approve or reject pending bookings - Cancel — Cancel a reservation (may refund credits depending on policy) - View details — Click a reservation for full details Frequently Asked Questions Can I create a reservation on behalf of a member? Yes. Admins can create reservations directly from this view by selecting the room, member, and time.

Contact Detail (Billing, Invoices, Agreements & More)

The Contact Detail page shows everything about a single contact — their rentals, memberships, invoices, agreements, and communication history. How to Access 1. Contact merging is not currently automated. If you find duplicates, update the primary record and remove the duplicate. Do contacts see all their data? Contacts see their own rental history, invoices, and agreements through the renter/member portal. Internal notes and admin activity are not visible to them.

The Contact List is your customer database — every renter, member, lead, and business contact in one searchable list. How to Access 1. Click Contacts in the left sidebar Contact Fields - Name — First and last name - Email — Primary email address - Phone — Primary phone number - Tags — Custom labels for organization - Source — How the contact was acquired (manual, rental, membership, lead, etc.) - Created — When the contact was added Adding Contacts Contacts are created automatically when you: - Create a rental and add a new renter - Add a new membership - Create a lead You can also manually add contacts by clicking Add Contact. Search & Filter Search by name, email, phone, or tag. The search is instant and works across all fields. Frequently Asked Questions Can I import contacts in bulk? Bulk import is available through CSV upload. Contact support for assistance with large imports. Are contacts shared across modules? Yes. A contact who rents a vehicle is the same contact record if they later become a club member. All interactions are linked to one record.

Showroom Management

The Showroom is your public-facing inventory where potential customers browse your vehicles, learn about your business, and initiate contact. How to Access 1. Go to Showroom in the left sidebar Showroom vs. Vehicle Inventory The Vehicle Inventory is your internal list. The Showroom is what the public sees. A vehicle must have showroom visibility enabled to appear publicly. Managing Showroom Visibility 1. Open a vehicle's detail page 2. Go to the Showroom tab 3. Toggle Showroom Visible to ON 4. Set a sale price (if applicable) Featured Vehicles Mark vehicles as "Featured" to highlight them at the top of your showroom. Featured vehicles get more visibility and are shown first to visitors. Customizing Your Showroom For full showroom customization (logo, hero image, colors, pages), go to Settings → Showroom. See "Showroom & Custom Website Settings" for details. The Vehicle Detail View is the comprehensive page for a single vehicle — all specs, photos, pricing, history, and module configurations. How to Access 1. Vehicle Inventory List & Adding Vehicles

Your Vehicle Inventory is the master list of all vehicles in your organization — for sale, rent, auction, or consignment. How to Access 1. Click Vehicles in the left sidebar The Inventory List Displays all vehicles with columns for: - Photo — Primary vehicle image - Vehicle — Year, make, model - VIN — Vehicle Identification Number - Status — Available, rented, sold, etc. - Modules — Which modules the vehicle is active in (Rental, Auction, Showroom) Adding a Vehicle 1. Click the + button or Add Vehicle 2. Enter the VIN (auto-populates year, make, model, and specs) 3. Or manually enter the vehicle details 4. Upload photos 5. Click Save After Adding Once added, configure the vehicle for your use case: - For rentals — Set daily/weekly/monthly pricing on the Rentals tab - For auctions — Create an auction listing from the vehicle detail page - For showroom — Enable showroom visibility and set a sale price - For consignment — Add a vehicle owner and configure the split Frequently Asked Questions Can a vehicle be in multiple modules simultaneously? Yes. A vehicle can be listed on your showroom for sale, available for rental, and enrolled in Pocket Drives all at the same time.
