Editing Lead Status, Disposition & Assignment

Manage leads by updating their status, disposition, and assigned manager — all inline from the lead list. Editing Status 1. In the Leads list, click the Status field on any lead row 2. Select the new status from the dropdown: New, Open, Processed, or Declined 3. The change saves automatically Status indicates where the lead is in your workflow. New leads start as "New" and move through the pipeline as you work them. Editing Disposition 1. Click the Disposition field on the lead row 2. Select the new disposition from the dropdown 3. Saves automatically Disposition describes the outcome or current stage of the lead. Common dispositions include: New, Contacted, Qualified, Proposal Sent, Converted, Lost, and Do Not Contact. A lead marked as "Converted" means the customer has confirmed a rental booking. Changing Assignment 1. Click the Assigned To field or the assign action on the lead row 2. In the modal, select a team member from the dropdown 3. Click Update You can assign leads to any organization member or active inside sales user. The assignment determines who is responsible for working that lead. Assigning Leads to Inside Sales Reps When you assign a lead to an inside sales rep, it unlocks powerful mobile capabilities for that rep: - The lead appears in the rep's Leads tab in the Pocket Drives mobile app (Commission Mode) - The rep can view the lead's contact details, vehicle of interest, and current status/disposition - The rep can Request a Folio — this creates or links a rental quote for the lead's customer and vehicle - The rep can edit rental dates on the folio while it's in Quoting status (pricing recalculates automatically) - The rep can Chat with the Garage — opening a direct chat conversation with your team about that specific rental folio Inside sales reps see only the leads assigned to them, filtered by the organization they're currently viewing. Assignment is the gateway to the entire inside sales mobile workflow. Important: Only the assigned rep can request a folio for a lead. If you need to transfer a lead to a different rep, simply reassign it — the existing folio and chat history are preserved. Clearing an Assignment 1. Click the Assigned To field on the lead 2. Select the clear/unassign option 3. Confirm the action When a lead assignment is cleared, it no longer appears in any rep's mobile Leads tab. The lead remains in the web app's Leads list for admins to manage. What Happens When You Change Assignment - All assignment changes are logged for audit purposes - The lead moves from the previous rep's mobile view to the new rep's - Any existing rental folio and chat conversation remain intact — they transfer with the lead - The new rep can continue working from where the previous rep left off Frequently Asked Questions Q: Can I assign a lead to multiple people? A: No. Each lead has one assigned rep at a time. If multiple people need to collaborate, use the Chat with Garage feature on the folio. Q: Who can I assign leads to? A: Organization members and active inside sales users. The dropdown shows all eligible users. Q: Does changing the status or disposition notify the assigned rep? A: Status and disposition changes are reflected in the mobile app the next time the rep refreshes their Leads tab. There is no push notification for these changes currently. Q: What's the difference between Status and Disposition? A: Status is a simple workflow stage (New, Open, Processed, Declined). Disposition is a more granular outcome label (Contacted, Qualified, Converted, Lost, etc.). Use both together to track leads through your pipeline.

Inside Sales Report & Commission Tracking (Mobile)

The Report and Commissions tabs in the mobile app give inside sales reps a real-time view of their performance, earnings, and payment status. Use these tabs to track how much you've earned, what's been paid, and how your leads are converting. The Report Tab The Report tab is your performance dashboard. It provides a high-level summary of your commission earnings and lead activity. Period Filters At the top of the Report tab, select a time period to adjust the data shown: - 7D — last 7 days - 30D — last 30 days - 90D — last 90 days - 1Y — last year The selected period applies to both the earnings summary and the lead statistics. Earnings Summary The top section shows key financial metrics: - Total Earned — the total commission amount for the selected period - Paid — how much has been paid out to you - Unpaid — how much is still outstanding When comparative data is available, you may see a percentage change compared to the previous period. Lead Statistics Below the earnings, you'll see a snapshot of your lead activity: - Total Leads — how many leads are assigned to you - Open Leads — leads that are still active and not yet converted - Converted Leads — leads that resulted in a confirmed booking If you work across multiple organizations, a By Organization breakdown may appear showing earnings per org. The Commissions Tab The Commissions tab shows a detailed list of every commission earned during the selected period. What Each Commission Entry Shows - Rental title — which rental the commission is for - Vehicle and organization — the asset and org associated with the commission - Amount — the commission value - Status badge — Paid (green) or Unpaid (yellow) - Date — when the commission was recorded How Commissions Are Created Commissions are recorded by the organization's administrators from the web app. When an admin adds a commission on a rental and assigns it to you, it appears in your Commissions tab. You cannot create or edit commissions yourself — this ensures all financial records are controlled by the organization. How It Connects to the Admin Side Everything you see in the mobile app's Report and Commissions tabs reflects data managed by the organization in the RentalOS web app: - Commission Tracking Admin Report — administrators use Reports → Commissions to record, edit, and pay out commissions - Recording Commissions — admins add commissions on individual rentals or from the admin commission report - Commission Payments — when an admin records a commission payment to you, the corresponding entries in your mobile app change from "Unpaid" to "Paid" Pull to Refresh On any tab, pull down to refresh the data. This fetches the latest commissions, report numbers, and lead statistics from the server. Frequently Asked Questions Q: Why do I see $0 in my report? A: Commissions must be recorded by the organization's admin. If no commissions have been added for your rentals yet, the report will show zero. Contact the garage team to confirm commission status. Q: How do I know when I've been paid? A: When a commission changes from "Unpaid" to "Paid" in the Commissions tab, the admin has recorded a payment. The actual payment method (check, bank transfer, etc.) depends on your arrangement with the organization. Q: Can I see commissions from all my organizations at once? A: The Report tab shows data for the currently selected organization. Switch organizations using the header dropdown to see data for a different org. The "By Organization" breakdown on the Report tab may show a summary across orgs when available. Q: Why don't my lead numbers match my commission numbers? A: Not all leads result in commissions. A lead must be converted to a completed rental, and the admin must record a commission on that rental for it to appear in your earnings. Q: How often does the data update? A: Data refreshes each time you open the tab or pull to refresh. Changes made by the admin in the web app are reflected in real time.

Chatting with the Garage About a Folio (Inside Sales)

The Chat with Garage feature lets inside sales reps communicate directly with the organization's team about a specific rental folio. Use it to ask questions about pricing, availability, customer requests, or anything related to the rental. How to Start a Chat 1. Open the Folio View for any lead (see Requesting and Viewing a Rental Folio) 2. Tap the Chat with Garage button at the bottom of the screen 3. The chat screen opens with a conversation linked to that rental folio 4. Type your message and tap Send The first time you open Chat with Garage for a folio, the system automatically creates a new conversation. If you've chatted about this folio before, the existing conversation is reopened with your full message history. Who Is in the Conversation? Each folio chat includes: - You (the inside sales rep) — your messages appear on the right side in the brand color - The organization's team — administrators, managers, and other team members who have access to the organization's chat inbox. Their messages appear on the left side. Organization team members see the conversation in their Chat Inbox in the RentalOS web app, alongside other customer and rental chats. The conversation is labeled with your name and the rental number so they can easily identify it. What You Can Chat About Common topics for folio chats include: - Pricing questions — "Can we offer a discount for a 7-day rental?" - Availability checks — "Is this vehicle available for these dates?" - Customer requests — "The customer wants airport delivery, can we accommodate?" - Folio updates — "I've updated the dates, please review the pricing" - Approval requests — "Customer is ready to book, can you approve the folio?" - General coordination — any back-and-forth needed to close the deal How Messages Work - Real-time updates — the chat checks for new messages every few seconds while the screen is open - Day separators — messages are grouped by day (Today, Yesterday, or the specific date) - System messages — automated messages (like "conversation created") appear centered in italic text - Message limit — individual messages can be up to 2,000 characters One Conversation Per Folio Each rental folio has exactly one inside sales chat conversation. No matter how many times you open "Chat with Garage" for the same folio, you'll always return to the same conversation thread. This keeps all communication about a rental in one place. Where the Garage Team Sees Your Messages The organization's team members see inside sales conversations in their RentalOS Chat Inbox (web app). The conversation appears with: - Your name as the sender - The rental number in the conversation title - An "inside sales" label so the team knows this is from a sales rep, not a customer They can respond directly from the web app, and their replies appear in your mobile chat screen in real time. Frequently Asked Questions Q: Can I send images or files in the chat? A: Currently, inside sales chat supports text messages only. For file sharing, coordinate with the garage team through other channels. Q: Will I get push notifications for new messages? A: Messages are updated in real time while the chat screen is open. Push notification support for inside sales chats may be added in a future update. Q: Can the customer see this conversation? A: No. This is a private conversation between you and the organization's team. Customers have their own separate chat conversations. Q: What happens to the chat after the rental is completed? A: The conversation remains accessible as a historical record. You can view past messages but the conversation is typically closed once the rental is finalized.

Requesting and Viewing a Rental Folio (Inside Sales)

As an inside sales rep, the rental folio is your primary tool for working a lead. It shows the customer's contact information, rental dates, and a full pricing breakdown. This article explains how to request a folio and what you can do with it. What Is a Rental Folio? A rental folio is a rental record linked to a lead. It contains everything about the potential booking: the customer, the vehicle, check-in and check-out dates, pricing, taxes, and deposit. Think of it as a quote sheet that you and the garage team work on together. Requesting a Folio 1. Open the Pocket Drives app in Commission Mode 2. Go to the Leads tab 3. Tap a lead to open its detail screen 4. On the Lead Detail screen, tap Request Folio 5. The system will find or create a rental folio for this lead 6. You'll be taken to the Folio View automatically What Happens Behind the Scenes When you tap Request Folio, the system does the following: - Checks for an existing folio — if this lead already has a rental linked to it, that rental is used - Searches for a matching rental — if no direct link exists, the system looks for a rental that matches the same customer and vehicle - Creates a new rental — if no existing rental is found, a brand-new rental folio is created for the lead's customer and vehicle Once linked, the lead will show a "FOLIO" tag in the Leads list, indicating a folio exists. The Folio View The folio screen shows: Status Banner At the top, you'll see the folio status: - Quoting — the folio is a draft/quote and can be edited - Approved — the rental has been accepted and the folio is locked (read-only) The vehicle name and folio number are displayed below the status. Customer Information The renter's name, email address, and phone number. Tap the phone or email to contact them directly. Rental Dates - Check-In — when the rental starts - Check-Out — when the rental ends If the folio is in Quoting status, you'll see a pencil icon next to each date. Tap it to change the date and time. Pricing Breakdown A detailed breakdown including: - Line items — daily rate calculations (e.g., "3 days × $150/day") - Subtotal - Sales/Rental tax — percentage-based tax applied by the organization - Fixed taxes — flat-rate taxes or fees (e.g., airport surcharge, tourism tax) - Discount — if any discount code or manual discount is applied - Total - Security deposit — if the vehicle requires a deposit hold Editing Folio Dates You can change the check-in and check-out dates only while the folio is in Quoting status: 1. On the Folio View, tap the pencil icon next to Check-In or Check-Out 2. A date/time picker will appear 3. Select the new date and time 4. Tap Confirm 5. Viewing a Folio for an Existing Lead If a lead already has a folio (shown by the "FOLIO" tag in the Leads list), the Lead Detail screen will show View Folio instead of "Request Folio." Tap it to go directly to the folio. Frequently Asked Questions Q: Can I change the vehicle on a folio? A: No. The vehicle is determined by the lead. If the customer wants a different vehicle, the admin should create a new lead for the other vehicle. Q: Can I add extras or add-ons to the folio? A: Not from the mobile app. Add-ons, discounts, and custom line items are managed by the garage team from the web app's rental detail page. Q: What if the pricing looks wrong? A: Pricing is calculated from the vehicle's configured rates, organization tax settings, and the rental duration. If something looks off, use Chat with Garage to ask the team to review it. Q: Can I request a folio for a lead that isn't assigned to me? A: No. You can only request folios for leads where you are the assigned rep.

Assigning Leads to Inside Sales Reps (Admin)

Before an inside sales rep can work a lead from the mobile app, an organization administrator must assign the lead to them. This article explains how lead assignment works and what it enables. Who Can Assign Leads? Any user with access to the organization's Leads list in the web app can assign leads. This is typically an administrator, manager, or team member with lead management permissions. Who Can Be Assigned? Leads can be assigned to: - Organization members — users who are part of the organization's team - Active inside sales users — users who have been added as inside sales reps for that organization The assignment dropdown will show all eligible users when you click to assign. How to Assign a Lead 1. Navigate to the Leads list in RentalOS (web app) 2. Find the lead you want to assign 3. Click the Assigned To field on the lead row (or click the assign action button) 4. In the modal, select the inside sales rep from the dropdown 5. Click Update The assignment takes effect immediately. What Happens When a Lead Is Assigned Once a lead is assigned to an inside sales rep: - The lead appears in the rep's Leads tab in the Pocket Drives mobile app (Commission Mode) - The rep can view the lead's contact information, vehicle of interest, status, and disposition - The rep gains the ability to request a rental folio for that lead - The rep can chat with the garage about the lead's folio Important: Only the assigned rep can request a folio for that lead. Inside Sales Overview — How Commission Mode Works

Inside Sales in RentalOS lets third-party sales representatives earn commissions by managing rental leads from their mobile device. Sales reps use the Pocket Drives app in Commission Mode to view assigned leads, request and manage rental folios, communicate with the garage, and track their earnings — all from one place. What Is an Inside Sales Rep? An inside sales rep is a user who has been added to one or more organizations as an inside sales team member. They don't manage the fleet or run day-to-day operations — instead, they focus on converting leads into booked rentals and earning commissions on those conversions. Inside sales reps are added by organization administrators. Once added, the rep can see that organization's leads in their mobile app. How to Enable Commission Mode Commission Mode is available in the Pocket Drives mobile app for eligible users. To qualify: - Your account must be on a GT1 plan (or have commissions enabled by your organization) - You must be flagged as having active commissions in at least one organization To switch into Commission Mode: 1. Open the Pocket Drives app 2. Go to your Profile 3. Tap Switch to Commissions Mode 4. The app will reload into the commission dashboard Your mode selection is saved automatically — the next time you open the app, it will start in whichever mode you last used. Switching Between Organizations If you are an inside sales rep for multiple organizations, you can switch between them from the commission dashboard: 1. Consignment Analytics shows how each consigned vehicle is performing — revenue generated, expenses incurred, and net profit, broken down by vehicle and owner. How to Access 1. Go to Reports → Consignment or view individual vehicle P&L from the vehicle detail page What It Shows Per-Vehicle Breakdown - Total revenue — All rental income for this vehicle - Expenses — Porter costs, maintenance, platform fees - Net profit — Revenue minus expenses - Owner split — The owner's share based on the consignment percentage - Your share — What you keep as the operator Owner Summary - Total owed to owner — Accumulated earnings minus payouts sent - Payout history — All payments made to this owner Generating a P&L PDF From any rental detail page, click Generate P&L PDF to create a professional profit & loss document for that specific rental. These PDFs are commonly shared with vehicle owners to show their earnings.
