ClubOS Messaging Forwarding Toggles

ClubOS can forward real-time notifications about club events to your Telegram group or Discord channel, keeping your team informed without checking the dashboard. How to Access 1. Go to Settings → ClubOS → General 2. Scroll to the Notification Forwarding card Note: This card only appears if you've connected at least one messaging service (Telegram or Discord) in Settings → Connections. What Gets Forwarded When enabled, ClubOS forwards notifications for: - New memberships — When a member signs up for a plan - Payment events — Successful payments, failed payments, and retries - Membership status changes — Suspensions, cancellations, reactivations - Room bookings — New reservations and cancellations Configuring Telegram Forwarding Prerequisites 1. Connect Telegram in Settings → Connections → Telegram 2. The connection must be Active (not Paused) Steps 1. Go to Settings → ClubOS → General 2. Toggle the Telegram switch to ON If Telegram shows a "Paused" badge, the global connection is paused — go to Settings → Connections → Telegram to re-enable it. The module toggle won't work while the connection is paused. Configuring Discord Forwarding Prerequisites 1. Connect Discord in Settings → Connections → Discord 2. The connection must be Active (not Paused) Steps 1. Go to Settings → ClubOS → General 2. Toggle the Discord switch to ON Module-Specific Forwarding This toggle controls ClubOS notifications only. Each PocketOS module (RentalOS, AuctionOS, TurboRank SEO) has its own forwarding toggle on its respective settings page. You can forward some modules and not others. Frequently Asked Questions Can I forward to both Telegram and Discord at the same time? Yes. Enable both toggles and notifications will be sent to both channels independently. What if I only want payment failure notifications? Currently, the toggle is all-or-nothing for ClubOS events. You cannot filter by event type. All club events are forwarded when the toggle is ON. Where do I manage my Telegram/Discord connections? Click Manage Connections at the bottom of the Notification Forwarding card, or navigate to Settings → Connections.

Room Detail Settings & Gallery

Each room in ClubOS has a detail page where you configure everything from booking rules to visual presentation. How to Access 1. Go to Settings → ClubOS → Rooms 2. Click on any room name in the list Room Gallery The gallery shows photos of the room to members when they view or book the space. Uploading Photos 1. Scroll to the Gallery section on the room detail page 2. Click the upload button or drag and drop images 3. Images appear in the gallery immediately Managing Photos - Reorder — Drag and drop images to change their display order. The first image becomes the room's thumbnail. - Delete — Click the remove button on any image to delete it - Multiple images — Upload as many as needed to show the space from different angles Calendar Feed Each room gets a unique iCal feed URL. Use this to: - Subscribe in Google Calendar — paste the URL into "Other calendars → From URL" - Subscribe in Apple Calendar — File → New Calendar Subscription → paste URL - Subscribe in Outlook — Add calendar → Subscribe from web → paste URL The feed updates automatically as bookings are made or cancelled. Public Display Mode Generate a public URL to display this room's schedule on a screen (iPad, TV, kiosk) outside the room. 1. Click Generate Link (or Regenerate Link to create a new one) 2. Choose Display Mode: Landscape (horizontal screens) or Portrait (vertical screens) 3. Copy the URL and open it on your display device The display shows today's schedule in real-time with current/upcoming bookings highlighted. JPEG, PNG, and WebP. For best results, use images at least 1200px wide. Can members see the public display URL? The public display URL is separate from the member booking interface. Members book through the club app; the display URL is for physical screens in your facility. Do calendar feed subscriptions update automatically? Yes, but calendar apps have different refresh intervals (typically 15 minutes to 1 hour). Google Calendar refreshes roughly every 12-24 hours for subscribed calendars.

Creating & Configuring Rooms

Rooms are bookable spaces in your club — lounges, meeting rooms, garages, event spaces, or any physical area members can reserve. How to Create a Room 1. Go to Settings → ClubOS → Rooms 2. Click the + button in the toolbar 3. Enter the room name in the modal 4. Click Create After creation, you'll be taken to the Room Detail page to configure all settings. Room List The Rooms tab shows all your rooms in a searchable table with columns for Room Name, Status, Credits required, and creation date. Click any room name to open its detail page. Pagination shows 25 rooms per page. Room Status | Status | Meaning | | --- | --- | | Draft | Room is hidden from members — use this while configuring | | Published | Room is visible and bookable by members | | Archived | Room is hidden and no longer bookable, but historical reservations are preserved | Room Detail Settings Once you click into a room, here's everything you can configure: Basic Information - Room Name — The display name members see - Description — A text description of the space, amenities, or usage guidelines - Capacity — Maximum number of people the room holds - Location — Floor and Area fields for wayfinding Credit Configuration - Require Credits toggle — When ON, members must spend credits to book this room - Credit Amount — How many credits per booking - Credit Type dropdown — Choose between Rental Credits or Club Credits When credits are not required, members can book the room for free. These appear to members when they view room details and help them decide whether to book. Drag and drop to reorder images. Calendar Feed URL A unique iCal feed URL for the room. Subscribe from Google Calendar, Apple Calendar, or Outlook to see this room's bookings in your personal calendar. Click Copy URL to copy it. Public Display URL A shareable link to display the room's schedule on a public screen (e.g., a TV or tablet outside the room). Choose between Landscape and Portrait display modes. Click Generate Link to create the URL. Publishing a Room 1. Configure all settings (name, credits, booking rules, gallery) 2. Click the Publish button at the top of the room detail page 3. The room is now visible and bookable by members Frequently Asked Questions Can I change room settings after publishing? Yes. All settings can be edited at any time. Changes take effect immediately for new bookings. Existing reservations are not affected. What happens when I archive a room? Archived rooms are hidden from the booking interface. Past reservations remain in the system for record-keeping. Future reservations for that room would need to be manually cancelled.

Managing Your Membership Network

The Membership Network lets you extend your club's benefits to partner organizations. When another organization is in your network, their members can access shared benefits — and vice versa. How to Access 1. Go to Settings → ClubOS → Network What the Network Does When you include another organization in your network: - Members from your club can potentially use facilities or services at the partner location - You can earn commission when network members book at your location - Network relationships create a broader ecosystem of benefits for your members How to Manage Your Network The Network tab displays all organizations that are available for networking. Each organization shows: - Organization logo - Organization name - Location badge - Toggle switch — Turn ON to include them in your network, OFF to exclude Adding a Partner 1. Find the organization in the list 2. Toggle their switch to ON 3. The change saves automatically Removing a Partner 1. Find the organization in the list 2. Toggle their switch to OFF 3. Existing shared benefits are revoked Commission on Network Bookings When a member from a network partner books at your location (rooms, vehicles, etc.), commission rates may apply. These are configured at the organization level and in the membership plan settings. Frequently Asked Questions Do both organizations need to enable each other? Yes. Network inclusion is mutual — each organization independently controls which partners they include. Both sides must have each other enabled for the relationship to be active. Can I limit which plans have network access? Network access is managed at the organization level on this tab. Specific plan-level network restrictions can be configured on individual membership plan detail pages. How do members know about network locations? Members can see available network locations through their membership portal and the club app.

Creating a Membership Plan

Membership plans define your club's tiers — what members pay, what benefits they receive, and how they're billed. How to Create a Plan 1. Go to Settings → ClubOS → Membership Plans 2. Click the + button in the toolbar 3. Fill in the plan details in the modal 4. Click Create Plan Fields | Field | Description | Required | | --- | --- | --- | | Plan Title | The name members see (e.g., "Gold", "Platinum", "VIP") | Yes | | Monthly Price | Recurring monthly dues charged to the member | Yes | | Initiation Fee | One-time upfront fee charged when a member joins | No | | Duration | Billing cycle — monthly, quarterly, or annual | Yes | | Status | Draft (hidden) or Live (available for new memberships) | Auto | After Creation After creating a plan, click on it in the list to open the Plan Detail page where you can configure: - Benefits — What credits, perks, and access the plan includes - Pricing tiers — Fine-tune pricing - Privacy — Control whether the plan appears on your showroom - Agreement — Attach a membership agreement template - Unify Access — Control which doors this plan grants access to Plan Visibility New plans are created in Draft status. They won't appear on your showroom or be available for new memberships until you set them to Live. This gives you time to configure all settings before making the plan available. Searching & Sorting Plans The Membership Plans tab shows all plans in a searchable table with columns for Status, Privacy (showroom visibility), Title, Duration, Monthly price, Initiation Fee, and last update date. Use the search bar to filter by plan name. Frequently Asked Questions Can I have unlimited plans? Yes. Create as many plans as your business needs. Common setups include 2-4 tiers. Can I change a plan's price after members have subscribed? Yes, but existing members keep their current pricing. The new price applies to new signups only. To change pricing for existing members, you'd need to switch them to a new plan. What's the difference between monthly, quarterly, and annual billing? This controls how often the member is automatically charged. Monthly bills every month, quarterly every 3 months, and annual once per year. The displayed "Monthly" price is the per-month equivalent regardless of billing cycle.

Configuring Credit Values, Club Hours & Card Fees

The General tab in ClubOS Settings controls three core configurations that affect how your club operates daily. How to Access 1. Go to Settings → ClubOS → General Credit Values Credits are the currency members use to book rooms and rentals within your club. There are two credit types: Rental Credit Value The dollar amount that one rental credit is worth. Example: If set to $50.00, a member spending 3 rental credits is using $150 in value. This value is used when: - A member books a vehicle rental using credits instead of cash - Calculating the monetary equivalent of a member's credit balance - Displaying credit-to-dollar conversion on invoices Club Credit Value The dollar amount that one club credit is worth. Club credits are used for room bookings and other club amenities. Example: If a room costs 2 club credits and each credit = $25, the room booking is worth $50. How to Set 1. Enter the dollar amount in the Rental Credit Value field 2. Enter the dollar amount in the Club Credit Value field 3. Click outside the field — values auto-save on blur Club Operating Hours Set when your club is open. These hours affect the "Today" calendar view — the calendar will highlight your operating hours and dim time outside them. How to Set 1. Select the Opening Time from the dropdown (e.g., 8 AM) 2. Select the Closing Time from the dropdown (e.g., 10 PM) 3. Changes save automatically Note: Operating hours are for display and scheduling purposes. They don't block bookings outside these hours unless you configure room-level booking restrictions. Credit Card Processing Fee This is the credit card fee percentage applied to membership payments processed by credit card. How It Works - Enter the fee as a percentage (e.g., 2.9%) - This fee is added to the member's invoice when they pay by credit card - ACH payments are NOT affected by this fee — it applies only to credit card transactions Example: If a member's monthly dues are $200 and the CC fee is 2.9%, their total credit card payment is $205.80. Recommendations Set this to your actual Stripe processing rate (typically 2.9% for cards). Some operators set it higher (3.0-3.5%) to cover all processing costs including Stripe's per-transaction fee. Passing this fee to members is legal in most US states. Notification Forwarding If you've connected Telegram or Discord, a Notification Forwarding card appears at the bottom of the General tab. Toggle each service ON to forward ClubOS events (new memberships, payments, cancellations) to your messaging channels. Frequently Asked Questions Can I have different credit values for different plans? No. Credit values are organization-wide. All members use the same rental credit value and club credit value. However, different plans can grant different numbers of credits per billing cycle. Do operating hours block after-hours bookings? No. Operating hours affect the calendar display only. To restrict bookings to certain hours, configure booking settings on individual rooms. Should I charge the CC processing fee to members? This is a business decision. Many operators pass the fee through to keep their advertised pricing clean. Set to 0% if you want to absorb the processing cost.

Editing a Membership Plan (Pricing, Benefits & Billing)

The membership plan detail page is a comprehensive editor for everything about a plan. How to Access 1. Go to Settings → Memberships → Plans 2. Click the plan title in the table Sections You Can Configure Plan Status Plans start as Inactive. Click Take Live to make the plan active and available for new members. Click Disable to deactivate it. Plan Title, Slug & Description Edit the plan name, URL slug (for your showroom), and description. Changes save when you click outside the field. Hero Image Upload a hero image that appears on your showroom's membership page. Initiation Fee Toggle Require Initiation Fee to charge a one-time fee when members sign up. Set the dollar amount when enabled. Agreement Toggle Require Agreement to attach a rental/membership agreement. Select the agreement template from the dropdown. Billing Interval Choose how often members are billed: - Monthly — billed every month on the billing day - Quarterly — billed every 3 months (optional discount %) - Annual — billed yearly (optional discount %) - Lifetime — one-time payment, no recurring billing Set the billing day of month (1–28) and accepted payment methods. Credits Enable Rental Credits and/or Club Credits for the plan: - Set the number of credits per billing period - Toggle Rollover to carry unused credits to the next period - Configure advance booking days, max bookings, max days per booking, and days between bookings Privacy & Showroom - Visible in Showroom — show this plan on your public membership page - Show Price in Showroom — display pricing publicly Membership Network Enable network access and set the commission rate (minimum 3%) for partner organizations. Door Access If you have Unifi doors configured, check which doors this plan grants access to. Line Items Add detailed pricing line items (description, amount, quantity) that make up the plan's total. These appear on invoices and the plan summary. Benefits Add descriptive benefits that appear on your showroom (e.g., "Unlimited garage access", "2 rental credits per month"). Benefits are sortable — drag to reorder. Categories Tag the plan with categories for organization. You can create new categories inline.
